Job Description

We are currently looking for a Lease Administrator. The candidate will join a young and dynamic environment.

Head office: Vaudreuil

Position: Full time

Duties and responsibilities

  • Analyze and process all executed lease documents for your property portfolio (+/- 220 tenants);
  • Provide lease summaries for all departments;
  • Follow up on and collect unpaid rents, send statements and rent notices, and explain and provide analyses for charges appearing on the statement to ensure prompt payment of amounts due. Escalate any issues as needed;
  • Maintain good relationships with tenants through regular and proactive contact by email and phone;
  • Support accounting clerks for payments coding;
  • Monitor and enter sales reports, calculate and invoice % rents;
  • Monitor charges increased annually based on CPI, calculate rates and update the system accordingly;
  • Perform any necessary retroactive adjustments;
  • Prepare the monthly Rent Roll and explain any variances;
  • Collaborate with tenant coordinator, property management and property accountants;
  • Do research and interpret certain lease clauses, particularly those regarding tenant or landlord obligations;
  • Set up calculation parameters related to common area (CAM) charges;
  • Analyze, invoice, and send CAM adjustments (13th invoices) along with supporting documentation, and respond to tenant inquiries;
  • Participate in the annual budget update and follow up on rent increases;
  • Coordinate tenant lease terminations and the details for the remittance of premises;
  • Perform any other related tasks.

Qualifications

  • Great sense of organization and extreme attention to detail;
  • Dynamic and team player;
  • Strong time management skills, and ability to work under pressure;
  • Good communication and customer service skills;
  • Master the French and English language, spoken and written (required);
  • Strong knowledge of Microsoft office suite (Word and Excel (required);
  • Good knowledge of Asana and Yardi (an asset).

This role involves, among other things, communicating, both orally and in writing, with business partners and clients located in Quebec and Ontario. Following an analysis, we have determined that the tasks associated with this role require knowledge of English in addition to French (both spoken and written).
